Rental Facts

RENTAL GUARANTEE

Your rental vehicle is reserved and assigned at the time your reservation is made.  Luxury Transportation does not overbook vehicles.

Our Affiliate van owners maintain their vehicles better than manufacturer recommendations.

YOUR RENTAL VEHICLE IS HIGHLY SPECIALIZED

Your rental vehicle has many features which are not available in normal vehicles.

  • Maximum Space and Comfort

  • Entertainment System

  • LIMITED SUPPLY

Your specialized rental vehicle cannot be replaced or substituted.  In the unlikely and unfortunate event that the rental vehicle has a mechanical issue during or immediately before your rent we do not guarantee a replacement and do not cover the cost of replacement rentals.  We will reimburse the rental charges to you for the time that the rental vehicle is inoperable.

Travel to remote places far from service centers will make servicing the vehicle more challenging and time consuming in the event that the vehicle has a mechanical issue.

QUOTES & PRICING

The rental quote is for a specific trip. “Trip” is defined by a destination, mileage and travel dates.

Driving the rental vehicle outside the agreed trip may incur additional days and mileage fees.

If the vehicle deviates 100 or more miles from the trip route, the vehicle will be considered stolen and recovered immediately. If the trip mileage exceeds the estimated miles, additional miles must be purchased immediately, or the renter will be charged additional miles upon return. The intent of this is to prevent theft of the vehicle and services offered.  Communication is important if your plans have changed. If your plans change, let us know and we will make adjustments to your rental agreement as needed. Changes are ok. Just let us know.

The prepaid mileage is based on estimated miles for your trip.  The estimate is based on information provided by the renter. The final mileage charges will be based on the vehicle odometer and the number of miles added during the rental period.

Prepaid miles may be at a discounted rate.  Additional miles driven beyond the prepaid miles will be charged at the undiscounted price.

We can provide guidance on estimated miles.  It is the responsibility of the renter to provide an accurate estimate of miles to be driven

Additional days will be charged at the undiscounted rate.

PAYMENT & DEPOSIT

An advanced payment of 30% is required to make a reservation.  This payment is nonrefundable.

Full payment is due at the time of pick up less the 30% already paid in advance.

A security deposit of $500-$1000 will held in addition to the rental charges.

VEHICLE CONDITION

We expect the vehicle to be returned in the same condition as when it was rented, including cleanliness, smell, and vehicle condition.

A dirty vehicle will result in a $75 charge to the renter.  If you prefer to clean the vehicle, a complete cleaning can take up to two hours, including but not limited to,

  • Vacuuming and wiping seats

  • Vacuuming and wiping floors

  • Wiping the dash

  • Removing all debris from seats, between seats, next to windows and floors

  • Cleaning windows inside and out

  • Cleaning exterior of van

  • Cleaning bugs from grill, hood, windshield & mirrors

  • Wiping wheels

Strictly no smoking or use of oils or sprays that will leave any kind of smell in the van.  Smoking in the van will result in a $500 charge. Removal of other smells and cleaning of excessive messes will result in a $250 charge.

DOCUMENTING VEHICLE CONDITION

Pictures of the vehicle will be taken before and after the rental period.  It is the renter’s responsibility to take the photos at the time the vehicle is returned.  The photos should capture all sides of the exterior of the vehicle and clearly show the condition of the vehicle.  The pictures may be used to help show that the vehicle was returned in the same condition as the condition it was in when it was picked up.

 

DAMAGE

If the vehicle is damaged while on rent, the renter and the renter’s insurance are responsible for the cost of repairs.

 

DAMAGE PROTECTION

We offer limited damage protection to cover the cost of things like,

  • Damaged Windshield

  • Minor Dents, Dings, and Scratches

  • Insurance Deductible

There are two levels of protection available

  • $500 of protection for $95

  • $1,000 of protection for $195

The protection only applies to damage to the exterior of the vehicle.  All damage to the interior is the responsibility of the renter and is not covered by the Damage Protection

SECURITY DEPOSIT

A security deposit of $500-$1,000 will be held during the rent.  The security deposit may be used to pay for cleaning service, additional miles, additional days, fuel, damage repairs, insurance deductible, and be applied to any charges that exceed the value of the deductible.
